This wedding budget calculator turns a single total budget into a realistic, category-by-category spending plan. Enter the amount you intend to spend and the number of guests you expect, and it distributes the money across the categories most couples plan for, including venue and catering, photography and video, attire and beauty, flowers and decor, music, stationery, cake, rings, transportation, favors, and a miscellaneous cushion. The default percentages follow common industry guidance and sum to one hundred percent, so every dollar is accounted for. Alongside the allocations, the tool divides the budget by your guest count to reveal the cost per guest, which is often the single most useful number when deciding how large a celebration you can comfortably afford.
Formula
categoryAmount = totalBudget × (percent ÷ 100); costPerGuest = totalBudget ÷ guests
- totalBudget
- The full amount you plan to spend on the wedding
- percent
- The category share, expressed as a percentage of the total
- categoryAmount
- Dollars allocated to a single category
- guests
- Number of expected guests
- costPerGuest
- Budget divided by guest count
How it works
- Type your total wedding budget into the total budget input. This is the full amount the calculator will distribute across every spending category.
- Drag the guest count slider to match the size of your celebration. The cost-per-guest figure updates instantly as you move it, helping you judge whether a larger or smaller guest list fits the budget.
- Review the percentage allocation table. Each category receives its share of the total based on its default percentage, and the amounts always add up to the full budget so nothing is left unplanned.
Worked example
A couple with a $30,000 budget planning for 120 guests using the default category percentages.
- Cost per guest = 30,000 ÷ 120 = $250 per guest.
- Venue & Catering at 50% = 30,000 × 0.50 = $15,000, the largest single line item.
- Photography & Video at 12% = 30,000 × 0.12 = $3,600, while smaller categories such as Transportation at 2% receive $600.
The plan allocates the full $30,000 across all categories, with $15,000 to venue and catering, $3,600 to photography and video, and a cost of $250 per guest.
Frequently asked questions
- What is a typical wedding cost breakdown?
- A widely used rule of thumb puts about half of the budget toward the venue and catering, roughly 10 to 15 percent toward photography and video, and 8 to 10 percent each toward attire, flowers and decor, and music. Smaller shares cover stationery, cake, rings, transportation, and favors, with a small miscellaneous cushion. This calculator uses defaults in that range that add up to exactly one hundred percent.
- How much should I budget for the venue?
- Venue and catering is almost always the biggest expense, commonly around half of the total. The default here allocates 50 percent, so a $30,000 budget sets aside $15,000. If your venue includes catering, tables, and chairs, that share is usually appropriate; if you are paying caterers and rentals separately, you may need to plan for more and trim other categories.
- Can I customize the categories and percentages?
- The engine accepts any list of categories and percentages, so the underlying calculation is fully customizable. The on-page tool uses the standard set of industry defaults that sum to one hundred percent. If your priorities differ, for example a destination wedding with a larger transportation share, you can use the breakdown as a starting point and adjust your real spending plan accordingly.
